Maxx Command Center

The command center for everything your enterprise spends with outside vendors.

Maxx is the missing layer between procurement, finance, IT, shared services, HR, operations, and the business teams who own the work. It turns your invoice and AP data into one trusted, engagement-level view of all of your third-party spend.

The problem

A simple question about a vendor should not take three weeks to answer.

A vendor is being paid far more than the contract says. Who are they, which business units use them, where is the contract, and are you even still under agreement. In most large companies that answer takes weeks of email and spreadsheet archaeology. The data exists, but nobody can see it in one place.

The data is scattered

Invoices, AP records, contracts, and budgets live in different systems that were never built to answer "what are we spending, with whom, and why."

So every answer is slow

Each executive question turns into a manual data-pull project. By the time you have the answer the renewal has passed or the overpayment is already booked.

Maxx answers in seconds

One classified record of every engagement means the vendor fire drill, the renewal, and the budget question are already answered before you ask.

What Maxx gives you

See it, trust it, use it, own it.

Visibility is the wedge. Everything else, including savings, is what visibility makes possible.

01

See it

All of your third-party spend in one place, classified to the engagement level, built automatically from your invoice and AP data.

02

Trust it

Every field shows where its value came from and how confident to be in it, from system-verified to best-estimate, with a full audit trail.

03

Use it

Find and track savings, plan and forecast budgets, manage vendor and contract risk, and answer executive questions on demand.

04

Own it

Maxx starts about 80 percent complete out of the box. Your team validates it to your golden record, and Maxx keeps it current every month.

Total visibility

100 percent of your third-party spend, classified and reconciled.

Drop in a spreadsheet. Maxx classifies every line to a vendor, a category, and an engagement, then reconciles it back to your AP data so the number finance, procurement, IT, and the business all use is the same number.

  • Addressable, pass-through, and non-addressable spend, separated automatically.
  • Sits above SAP, Ariba, Coupa, and Apptio instead of replacing them.
  • No migration project, no integration program, no training rollout to stand it up.

Initiative savings tracking: monthly vendor expenditure against a frozen baseline with a shaded savings period and budget impact cards
One outcome of visibility

When you can see every dollar, you can prove the savings landed.

Set a baseline, set a target, then watch monthly actuals against plan on a frozen baseline. Savings tracking is one of many things visibility unlocks, and it runs on the same trusted record as everything else, so finance and procurement stop arguing from different spreadsheets.

  • Initiatives are first-class records: owner, baseline, target, vendors in scope, monthly actuals.
  • Plan versus actual on a frozen baseline, so a drifting initiative is visible early.
  • Manage savings across the whole portfolio, not one program at a time.

What you do with it

One record, many jobs.

Visibility is the foundation. These are the jobs your teams run on top of it.

Find and track savings

Surface savings the category rollups miss because Maxx works at the engagement grain, then track them to actuals.

Plan and forecast budgets

Plan, forecast, and track budget against actuals on the same trusted data finance and procurement both rely on.

Manage vendor and contract risk

Surface forgotten renewals and auto-renewing contracts before they cost you, and see concentration risk across the portfolio.

Govern the spend

PO coverage, policy adherence, and the vendor universe normalized and tracked month over month.

Answer executive questions

A rolled-up answer across the portfolio, plus the evidence trail behind every number.

Ask in plain language

Query your spend data in plain English and get answers with their sources, powered by Claude.

Why teams trust the number

You are not handed a report. You are handed the system of record.

Maxx starts about 80 percent complete, your team validates it to your golden record, and a monthly refresh keeps it current. Every field carries its own provenance.

Field-level provenance

Each value shows its source and a confidence flag, from system-verified to calculated to best-estimate, so you know exactly how far to lean on it.

Monthly refresh

The record does not go stale. Each month new invoice and AP data flows in and the picture stays current without a new project.

You own it

Your team validates Maxx to your golden record. It is the foundation you build everything else on, not a deliverable that ages on a shared drive.

Figures from a recent enterprise indirect-spend assessment, anonymized and shown as illustrative of typical findings. Much of the surfaced savings was spend the team had already booked as optimized.

Why we built it

Built by an operator who lived this problem.

Maxx comes from years of running large outsourced vendor portfolios at scale and advising global enterprises on how they buy. The pattern was always the same: the company could not see its own third-party spend in one place, so every decision about it started from a blank page.

More about ScaleX

If you cannot see your third-party spend, and it is costing you, let us talk.

No ERP migration, no eighteen month implementation, no massive upfront cost. Drop in a spreadsheet and see your own spend.

Platform

Inside the Maxx Command Center.

One trusted system of record for everything your enterprise spends with outside vendors. It sits above your ERP and procurement stack and starts from the messy invoice file those platforms assume you already cleaned up.

Quick look

A quick, just-over-a-minute look. A longer, sharper cut is already in production; this one stays live until it lands.

Where Maxx sits

A layer above the stack, not another tool inside it.

Your ERP, AP, and procurement platforms run the transactions. Maxx turns what flows through them into one engagement-level record you can actually see, govern, and act on.

Who it serves

Different doors, same truth.

The champion who brings Maxx in and the people who use it every day are often different. Each function enters its own way into the same engagement record. Procurement and finance are two of the doors, not the whole building.

Procurement and sourcing
CPO, category managers

A command center they own to run programs and find savings, not a tool that grades them.

Finance and FP&A
CFO org, budget owners

One trusted source for budget, forecast, and actuals versus plan, without stitching five systems.

IT and IT finance
CIO, tower owners

All vendor and IT spend, contracts, and renewals in one place, including the spend that drifts out of view.

Shared services and GBS
Global business services

A month-by-month record of the value created across entities, audit-ready, with low IT lift.

HR, operations, facilities
Function owners

Insight into their own vendor spend and renewals in plain English, without learning a procurement tool.

Business and engagement owners
Vendor relationship owners

Their specific engagements, contracts, risk, and renewals, in a record they help keep current.

Executives
CPO, CFO, CIO, board sponsors

A rolled-up answer across the portfolio, plus the evidence trail behind it.

Portfolio operators
PE deal and ops teams

One spend stack across the portfolio to negotiate and consolidate against.

One record underneath
The common truth

Every door opens onto the same engagement-level record, so the whole enterprise argues from one number.

What changes once you can see it

The work gets lighter, and it gets noticed.

These are the moments teams tell us about most. Each one is a week of someone's life back, and a much better answer the next time a leader asks a hard question in the room.

📊

The budget baseline that used to take weeks

The challenge: Building a budget baseline more detailed than the GL and more reliable than last year's spreadsheet, by hand, across every vendor and business unit.

With Maxx: The baseline is pre-populated from real prior-year actuals at the engagement level, with the driver and source attached to every line.

$674.7M controllable budget baseline reconciled from $1.12B of prior spend in a Maxx assessment example.

📈

The forecast nobody trusts by month three

The challenge: Renewals, ramps, and one-offs keep moving after the plan is set. Keeping assumptions visible while actuals replace the forecast, month by month, becomes a full-time rebuild job.

With Maxx: Closed months lock to actuals automatically, open months forecast from a visible driver, and nothing has to be rebuilt from scratch.

Monthly refresh cycle, with every assumption staying attached to its line.

"Why did this move?" with no good answer

The challenge: Anyone can calculate variance if the data is clean. The hard part is explaining why it moved and who owns fixing it, fast enough to matter.

With Maxx: Variance is computed by business unit, vendor, category, and country, with the driver and the accountable owner attached and routed to a tracked action.

Driver-level variance by BU, vendor, category, service type, country, and owner.

🔍

"What do we spend on X?" derails another week

The challenge: Every leadership question about spend turns into a new data pull and a debate about whose number is right.

With Maxx: One governed record answers by vendor, category, business unit, country, and trend, the same way every time.

$2.08B addressable spend separated from $566M of non-addressable or tracked-only spend in an anonymized assessment.

The savings opportunity nobody had time to find

The challenge: The biggest opportunities hide across business units, vendors, and service types. Finding them manually takes analysis time most teams never get.

With Maxx: Ask Maxx where vendors overlap or service types duplicate, and turn the answer straight into a tracked initiative.

$18.4M of potential opportunity surfaced across 4 vendors from a single question, in a Maxx assessment example.

🚀

What it means for you

The team that runs Maxx stops being the team that explains why the numbers do not match. It becomes the team that already has the answer, the driver, and the next move, in the room, before anyone asks twice. That is the work that gets you promoted.

About

We build the visibility layer the enterprise stack never had.

Alex Rochlitz, founder of Maxx

Alex Rochlitz built Maxx after fifteen years of watching the same execution gap inside every enterprise he worked in.

Eight of those years were spent at Google, running large outsourced vendor operations across multiple business units. Before that, seven years in management consulting focused on outsourcing optimization and procurement strategy for global enterprises.

The pattern was always the same: consultants build the business case, procurement negotiates the deal, finance sets the budget, and then nobody can actually see whether the spend is doing what the plan said it would. The invoices existed, the contracts existed, the budgets existed, but no single system turned them into one record you could trust and act on. Every question about vendor spend started from a blank page and a data pull.

Maxx closes that gap. It turns invoice and AP data into one engagement-level record of all third-party spend, with the provenance to trust it and the depth to act on it. It sits above the ERP and procurement stack instead of replacing it, and it is the foundation the whole enterprise, from procurement and finance to IT, shared services, and the business, builds on.

ScaleX builds the system of record for enterprise third-party spend, and the command center your teams run on top of it.
